We are currently searching for a person for a Clerical position in our Accounting Department.

 

Strong organizational skills and computer experience are required.  General knowledge of General Ledger procedures, debits and credits is helpful to success in this position.

 

The job includes processing Service Department billing, posting of labor times to shop bills, typing and previewing job orders, as well as a variety of other duties.

Job Description

SERVICE CLERK

Job Function:

Maintains accurate and on-time reports and records relative to the service department’s operation within the dealership.  Assure that all charges related to work orders are posted properly.  Assure all work orders are closed on a timely basis.  Process Warranty and Product Improvement Claims.  Must conduct themselves in the presence of customers in a manner that promotes a positive image of the company.

 

Essential Duties:

1.

Open work orders as directed by the Service Manager or Service Writer/Shop Foreman and maintain control until closed and invoiced.  Monitor progress to ensure orders are completed and closed in a timely manner.

2.

Handles warranty claims including computation of charges, submission and follow-up.  Maintain and balance warranty log.  Complete and send warranty cards on a monthly basis.

3.

Maintain files for returned warranty parts.  Ensure all warranty parts returns are processed and returned in a timely manner.

4.

Assist the Service Manager or Service Writer/Shop Foreman in maintaining the service library with information that is current.  Files bulletins, manuals, video tapes, etc. under the direct supervision of the Service Manager.

5.

Handles service department filing and records.

6.

Updates customer profiles using equipment, hours or other information from the customer work orders.

7.

Add new customer profiles and update existing customer files as needed/directed.  Obtain customer Farm Plan account numbers.

8.

Assist salesman with generating and printing of sales contracts.

9.

Receive and direct incoming telephone calls.  Handle general inquiries and screen calls to ensure they are directed to the appropriate department.

10.

Calculate Service Technician’s job cards and post labor daily.  Reconcile with the payroll time cards.

11.

Calculate and report all hourly employees time to the payroll department.

12.

Provide Technician Labor Register report to Service Managers weekly.

13.

Provide Work-in-Progress report to General Manager and Service Managers weekly.

14.

Calculate and report the work order weekly billing goals for General Manager and Service Managers.

15.

Maintain and report outstanding work orders to General Manager and Service Managers.

16.

Maintain office, janitorial and building supply inventory and order supplies as needed/directed.

17.

Assist with planning and organizing various customer events including customer clinics, golf outings and appreciation days.

18.

Responsible for coordinating repair services/maintenance of all on-site office equipment i.e. fax machine, copier, postage meter, phone system, etc.

19.

Order uniforms for new employees and as needed for existing employees.

20.

Collect and open mail daily and disburse to appropriate personnel.  Process outgoing mail.

21.

Completes other duties as assigned.

General understanding of mechanical/technical terms is preferred but not required.

High school diploma or GED equivalent.
